The organization has approximately 80 employees and primarily consists of a single company that owns a large number of servers. Some of these servers are quite old and are stored within the company, which raises concerns about potential attacks or data breaches.

The Challenge

The main concern was that if any of these servers were compromised, sensitive documents could be stolen or encrypted, leading to threats of ransom demands. To mitigate this risk, the company has already implemented robust security measures. They had chosen a reliable service provider and kept their equipment updated. In the event of a breach, they wanted immediate reporting to their company.

The Solution

To address this issue, I suggested providing training to both the IT department and the general staff. For the IT department, this would involve reviewing past cases and watching relevant videos and tutorials. For the general staff, the aim was to ensure that they could quickly find and access archived emails without disrupting their work schedules.

In addition, I recommended implementing a system where answers to frequently asked questions were standardized to reduce the gap between the questions and responses. This would allow for quicker resolution of issues and improve overall efficiency.

Documentation Standards

I emphasized the importance of maintaining detailed records of all documents and manuals used within the company. This would not only help in tracking usage but also ensure compliance with strict standards.

Upgrading Legacy Systems

Finally, I proposed upgrading the outdated email systems stored on the servers to online versions with backup capabilities. This would allow for easy retrieval of important client emails at any time, saving valuable time and resources.
