Hello everyone, I am a technical staff member responsible for a client who is a small to medium-sized law firm. Today’s video will cover five main points. Firstly, I will introduce the client and their needs. Secondly, I will discuss how technology can be used to improve daily operations. Thirdly, I will present three solutions provided to the client based on their requirements. Lastly, I will share my thoughts on the importance of information technology in the office.

Introduction to the Client

The client is a small to medium-sized law firm with approximately 35 employees. They have expressed a need for not only general technical support services but also assistance in solving existing problems. The client is particularly concerned about receiving a large number of spam or phishing emails due to their need to handle a lot of confidential data. They fear that their employees might accidentally open such emails, leading to potential data breaches.

Client’s Needs

The client has three main requests:

  1. Spam Email Problem: The client wants a solution to prevent their employees from opening spam or phishing emails, which could lead to data breaches.
  2. Project Management Software: The client does not want to use traditional shared folders for project management. Instead, they would like to use software that is suitable for younger employees, which can enhance work efficiency and productivity.
  3. Email Storage Capacity: Each employee’s email storage capacity is too small, and the client wants to increase it so that employees do not have to manually delete old emails.

Solutions Provided to the Client

Based on the client’s needs, I proposed three corresponding solutions:

  1. Spam Email Solution: I suggested two methods to filter out spam emails. The first method involves purchasing hardware like a spam gateway, which functions similarly to a firewall. This device can filter out spam emails and block malicious attacks. The second method is to outsource the spam filtering process to an external company. This method does not require worrying about hardware damage affecting email reception, but any changes to the software or updates will need to be handled by the service provider.
  2. Cloud Storage and Email Service: To address the client’s request for increased email storage capacity and the need for a project management software, I recommended using Microsoft’s cloud storage and email service. This service offers different versions with varying storage capacities. Employees can create different shared file channels for different departments to use and share data.
  3. Project Management Software: For managing project plans, I recommended using Asana, a project management software. This software is free for a certain number of users and provides both mobile and Apple computer versions. It is a comprehensive software that can meet the needs of many Hong Kong clients.

In conclusion, this case study demonstrates how technology can be used to solve practical problems in a law firm. I hope that this will encourage more people to pay attention to the importance of information technology in the office.
